Cancellation & Refund Policy

This Cancellation & Refund Policy governs all bookings, reservations, and service agreements entered into with Gotag (hereinafter “the Company”, “we”, “us”, or “our”). By confirming a booking or making any advance payment to Gotag, you (“Client”) agree to be bound by the terms set out below. Please read this policy carefully before making a booking.

1. Booking Confirmation & Advance Payment

All bookings are confirmed only upon receipt of the advance payment as communicated in the proposal or invoice. The advance amount (typically 30%–50% of the total booking value) is required to initiate venue blocking, vendor commitments, and event planning. No services, reservations, or planning activities shall commence prior to receipt of the confirmed advance.

2. Cancellation Policy

All cancellation requests must be submitted in writing (email to [email protected]). Verbal cancellations shall not be accepted. The date of receipt of the written cancellation request shall be treated as the official cancellation date.

Important: Once the event is within 30 days, no refund shall be issued under any circumstance, regardless of the reason for cancellation. This includes illness, change in travel plans, change in team size, business exigencies, or any other reason whatsoever.

3. Non-Refundable Costs (Third-Party & Vendor Commitments)

Irrespective of the notice period provided, the following costs are strictly non-refundable under all circumstances, as they represent direct payments made by Gotag to third-party vendors on the Client’s behalf:

  • Hotel, resort, or venue booking deposits and non-refundable room blocks
  • Transportation, coach, or flight bookings
  • Activity, adventure sport, or experience bookings
  • Catering advances, F&B commitments, and special dietary arrangements
  • Permits, government fees, entry tickets, or licenses
  • Printing, branding, or custom merchandise produced for the event
  • Any other third-party service for which cancellation charges apply

In cases where the Client cancels more than 30 days in advance, any such vendor payments already made by Gotag will be deducted from the refundable amount. Gotag shall provide itemised documentation of all such deductions upon request.

4. Rescheduling & Postponement

Clients may request a rescheduling of their event subject to availability of venue and vendors. Rescheduling requests must be submitted in writing at least 30 days prior to the original event date. Any additional costs incurred due to new dates (difference in venue pricing, vendor availability premiums, etc.) shall be borne entirely by the Client. Rescheduling is permitted once at no administrative charge; subsequent rescheduling requests will attract a flat administrative fee of ₹5,000.

Rescheduling requests submitted within 30 days of the event date will be treated as a cancellation and no refund shall be issued.

5. Modifications to Confirmed Bookings

Requests to modify event parameters after booking confirmation are subject to the following:

  • Headcount reduction: Any reduction in confirmed headcount after venue and vendor commitments are made will not result in a proportional reduction in cost. The original confirmed headcount shall form the billing basis, and no credits or refunds will be issued for unutilised slots.
  • Programme changes: Minor modifications may be accommodated at Gotag’s discretion. Material changes (change of destination, change of event type) may be treated as a cancellation of the original booking, and no refund shall be issued if within 30 days of the event.
  • Upgrade requests: Upgrades to confirmed bookings are subject to availability and additional cost, payable in advance.

6. Cancellation by Gotag

Gotag reserves the right to cancel a confirmed booking under the following circumstances:

  • Non-receipt of balance payment by the due date specified in the invoice
  • Circumstances beyond Gotag’s reasonable control (see Force Majeure, Clause 7)
  • Safety, legal, or regulatory concerns that prevent safe execution of the event
  • Venue or vendor failure due to reasons outside Gotag’s control

In the event of cancellation by Gotag for reasons attributable solely to Gotag, the Client shall receive a full refund of amounts paid, less any non-recoverable third-party costs already incurred. Gotag’s liability shall be limited exclusively to the refund of such amounts and shall not extend to any consequential, indirect, or incidental losses.

7. Force Majeure

Gotag shall not be held liable for failure to perform or delay in performance of any obligation due to causes beyond its reasonable control, including but not limited to: acts of God, natural disasters, floods, earthquakes, pandemics, epidemics, government-imposed restrictions, strikes, civil unrest, war, or terrorism.

In such events, Gotag’s sole obligation shall be to offer the Client one of the following, at Gotag’s discretion: (a) rescheduling to a mutually agreed future date, or (b) a credit note valid for 12 months. Cash refunds shall not be issued in force majeure situations.

8. Refund Processing

Where a refund is determined to be applicable under this policy, the following conditions apply:

  • Refunds will be processed within 15–21 business days from the date of written cancellation confirmation by Gotag
  • Refunds will be credited to the same bank account or payment mode from which payment was originally received
  • Bank charges, payment gateway fees, or transaction costs incurred during the original payment shall be deducted from the refund amount
  • Gotag reserves the right to withhold refunds pending resolution of any disputes or outstanding balances

9. Limitation of Liability

To the fullest extent permitted by applicable law, Gotag’s total liability to the Client (whether in contract, tort, negligence, or otherwise) shall not exceed the total amount actually paid by the Client to Gotag for the specific event in question. Gotag shall not be liable for any indirect, consequential, special, punitive, or incidental damages of any nature whatsoever.

10. Governing Law & Dispute Resolution

This policy and all disputes arising from or related to any booking with Gotag shall be governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts of New Delhi, India.

11. Amendments

Gotag reserves the right to amend this policy at any time without prior notice. The version in effect at the time of booking confirmation shall govern that specific booking.
